Council Roles
There are six (6) elected officers of the school council. All must be parents/guardians of a student enrolled at Owen Public School but who are not employed by the TDSB. They are voting members of the council who perform the same duties as other council members, in addition to the following specific roles and responsibilities.

Chair(s): Leads the school council. Acts as a bridge between parents/guardians, the TDSB and the community.

Treasurer(s): Maintains detailed, written financial statements, including records of all receipts and disbursements on behalf of council, and manages banking affairs.

Secretary(ies): Takes notes during council meetings and is responsible for distributing important documents (agenda, notes) to the school community.

In addition to the 6 elected officers, there are specific leads/representatives appointed to oversee key committees/initiatives such as fundraising, advertising, community engagement, and student support, ensuring a well-rounded approach to supporting the school’s goals.

Marketing/Communications Lead: The Marketing/Communications Lead is responsible for promoting school events and initiatives through various channels, including social media, newsletters, and posters. They develop and implement strategies to increase community engagement and ensure clear, consistent communication about school activities. In addition, they prepare and revise posters advertising fundraising events.

Pizza Fundraiser Lead (2): The Pizza Lunch Lead is responsible for organizing and overseeing the weekly pizza lunch program, including managing orders, coordinating volunteers, and ensuring smooth delivery. They work with vendors and the school community to ensure a positive and efficient experience for students and staff.

Lunch and After School Programs Lead: The Lunch and After School Programs Lead is responsible for coordinating and managing lunch and after-school programs, specifically working with STEM vendors to provide engaging activities for students. They ensure smooth communication between vendors, staff, and families, and oversee the scheduling and logistics of these programs.

Sponsorship & Partnership Lead: The Sponsorship & Partnership Lead is responsible for securing and managing sponsorships and partnerships to support school events and initiatives. They work closely with local businesses and organizations to foster relationships and ensure funding or resources are obtained for school activities.

Volunteer Engagement Lead: The Volunteer Engagement Lead is responsible for recruiting, organizing, and managing volunteers for school council events and activities. They ensure there are enough volunteers for each event, communicate opportunities, and coordinate volunteer schedules to support the smooth running of school initiatives.

Grant Application Lead: The Grant Application Lead is responsible for identifying and applying for funding opportunities that support school programs and events. They manage the application process, ensuring all required materials are submitted on time and help secure financial support for the school community.

Grade 5 Graduation Committee Lead: The Grade 5 Graduation Lead is responsible for organizing and coordinating all aspects of the Grade 5 graduation committee, including planning events, securing volunteers, and ensuring the celebration reflects the students' achievements. They work closely with staff and parents to create a memorable experience for the graduates.

Staff Appreciation Lunch Leads (2): The Staff Appreciation Lunch Leads are responsible for organizing the Staff Appreciation Lunch, which takes place in the Staff Room in early to mid June. They organize the delivery of lunch, dessert, tea and coffee, as well as setting up and decorating the staff room. This role requires choosing a date and communicating it 3 months in advance, to ensure no field trips or tournaments are happening on the same day.

Popcorn and Cookie Sale Lead: The Popcorn Sale/ Cookie Sale Lead is responsible for overseeing approximately 4 Popcorn Sales and 3 Cookie Sales each school year. This requires ordering from the vendor at least 2 weeks in advance, being present at school for delivery, counting out how many orders each classroom has and distributing the cookies to each classroom.

Freezie Sale Lead: The Freezie Sale Lead is responsible for 2 Freezie Sales which usually take place on 2 dates in June, usually on Fridays at afternoon recess. The Freezie Sale Lead purchases approximately 400 Jumbo freezies and ensures they are frozen at least 1 week before the freezie sale. Generally, 4 boxes fit in the school freezer but 2 boxes are usually frozen at the Lead’s home. This role requires being present at the school for both Freezie Sales.

Spring Fling Volunteer Leads (2): The Spring Fling Volunteer Leads are responsible for coordinating and communicating with approximately 70 parent and student volunteers for Owen’s largest annual fundraising event. The Spring Fling requires volunteers to supervise approximately 20 food and activity stations in two shifts. This requires preparation1 month before the event to coordinate volunteers with a particular station and communicate the requirements of each station. Spring Fling Volunteer Leads must be present before and after the event to resolve any issues that may arise and approve student volunteers community service hours.
